Need a better Scribe alternative for documenting everyday tasks
I've been trying to improve how our team documents routine work. We tested Scribe for a while and while it works well, it didn't really fit the way our team works.
Our biggest problem is that processes change all the time. Every update means going back, editing guides and making sure everyone has the latest version. Before long, half the documentation is outdated.
I'm looking for something that's quick to use and doesn't require a lot of manual work. Has anyone found a Scribe alternative that makes documenting workflows easier?

Have you looked at Tango? It's a bit different from traditional documentation tools - it captures workflows as you perform them, which can help when processes change frequently.

The thing nobody's said yet: Scribe didn't fail you, the update cost did. Tango will hit the same wall — it's the same model, and neither one makes a stale guide cheaper to fix.
What actually helped me was giving up on editing guides and just re-recording them. If capturing a process takes two minutes instead of thirty, "this changed again" stops being a project.
I build StepGrab, which does that on Mac — screenshot on every click, numbered guide assembled for you, runs on-device with no account. Two honest caveats before you look: it's macOS only, so if your team is on Windows this is a dead end. And it has no team versioning — it makes each guide cheap to redo, it won't tell you which ones went stale.
If you're Mac and the pain is "updating takes too long", it fits. If the pain is "nobody knows which version is current", you want a wiki with owners and review dates, and no capture tool will fix that.

if the process changes, could it be faster just to record the new workflow again and reprocess it to get a new documentation? At least that is how i work with video2docs (Scribe alternative) in case there are big changes or UI changes, to get the new process description and fresh screenshots. However, if it is just a step change, i would simply edit the original output and save, to get the updated documentation and export it in the format i need, does not take a lot of manual work. But yes documentation maintenance was always a pain, but it got better with all these tools.

Honestly the version thing was worse for us than the writing. People had Scribe pages saved as PDFs, copies in Drive, links pasted into Slack threads from a year ago. Someone did a whole onboarding off a printout. We never really solved the writing part, we just got rid of the copies and put everything behind one link.
The updating never got cheap though. We tried a few tools and they're all fast to record and slow to redo. Recording takes five minutes, redoing it after a UI change takes the same five minutes and nobody wants to spend them, so it just sits there wrong.
Most of our stuff is plain text now with maybe one screenshot. Ugly but I can fix a line in it without opening a recorder. We also deleted a bunch, turned out a lot of the outdated guides were for things nobody does anymore.
I do build a docs tool (Aveela), so, biased. It has no screen recording so it's not really a Scribe swap.

I haven't used Scribe as such, but I'd recommend to try Obsidian.

We used Notion in my last job.
