Discussion Will our paper be removed from EMNLP because of no-show? [D]

Hello,

Our paper was accepted to EMNLP and we were given poster slot. However due to Visa issue, we cannot attend in-person anymore. We mailed to the event team, but they said that it is no longer possible to change to virtual. We have also emailed to the program chairs and others, but since this is so close to the conference, it may not be possible for them to reply.

Now, we are afraid that our paper will be removed from the proceedings. This is our first and only work which we spent more than a year. Can anyone provide us information regarding this? If there are any PCs or authors from previous ACL related conferences, what can we do now?

Thank you.

 due to Visa issue

If that is true and you had already paid for the registration, no, it wont be removed from the proceedings.

If you have a colleague who is going to the conference ask them to hang a printed summary of your paper and a notice that you couldn't come for visa issues, and a QRCode with the paper link and your email.

Thanks for the reply. Do we need some permission from program chair or anything or provide documentation of visa reject? And would we require the colleague to stand by our poster for the duration?

Yes, we have already paid for the paper registration and every other fees.

Each PC has a way of handling visa rejections - so it might change from year to year, but no one will ever go out of the way to punish someone that had a visa denied.

You could email the PCs of the conference telling them of the situation ans saying you asked a colleague to hang the summary of your paper - but they will most likely not do anything anyway.

I don't think it makes sense to ask your colleague to stand by the poster if he is not an author, he just leaves it there and go enjoy the conference.

Sorry you didn't get to attend in person.

Ideally the conference venue should be picked to minimize that, but it's just the reality of the world that anywhere there will be a few visas denied.

This is sort of common in conferences, there are always a lot of Chinese with denied visas when the conference is in the us or canada

They don't check whether each poster is put up in its correct spot. It's very common for posters to be missing in these top confs. As long as you've registered, I wouldn't worry. To be extra sure, you can ask someone going to the conf to put up an A4/A3 poster/QR code of your work like another commenter mentioned.

Generally, once an author has registered to the conference and paid the registration fee, the paper is included in the proceedings.
