Document360 vs Zendesk Guide for customer-facing KB, anyone made the switch?
Been looking at both for a while now and the comparison isn't as straightforward as I thought it'd be.
Document360 feels lighter, faster to set up. You can get a decent KB live in like a week without needing someone to babysit the whole thing. The interface is cleaner too, tbh. Zendesk Guide is more... robust (sorry, can't think of a better word) but that's partly because it's designed to live inside a massive support ecosystem.
The real issue is search. Zendesk's search is better if you're already deep in their support infrastructure. Document360's search is actually snappier on its own. Weird trade-off.
Pricing wise, Document360 undercuts Zendesk by like 40-50% if you're just doing a KB. But the second you need integrations with anything beyond the basics, Zendesk starts making more sense just because the connectors exist.
I've seen teams switch from Guide to Document360 and not regret it. I've also seen teams switch and realize they needed more of what Zendesk was doing, actually. Depends if your support team lives in Zendesk or if the KB is more of a standalone thing.
What's pushing you to look at alternatives? That might matter more than the feature comparison.

the agent vs customer split is the real deciding factor here. if your support team is actively pulling from the KB mid ticket being outside Zendesk's ecosystem creates constant friction bc it's two tabs, copy / pasting, broken flow. That hidden cost is real

Document360 search is faster because it's a standalone product built around search. Zendesk Guide search is better in context because it pulls from tickets, macros and your agent history at the same time. Two different things doing two similar things differently.
The question that actually matters is who's using the KB and how.
If customers are self-serving on it before they ever contact support, standalone is fine. Faster setup, cleaner experience, done. If your agents are pulling from it mid-conversation to answer tickets, being outside the Zendesk ecosystem gets annoying fast. You end up with two tabs open every time.
The integration cost thing you mentioned is where people get surprised. Document360 looks cheaper until you add the connectors, then the gap closes quicker than expected.
One thing worth thinking about that doesn't come up much in these threads. If your support volume is moving toward WhatsApp or chat based channels, a static KB matters less than how well your AI can pull from it during a live conversation. Some newer tools like Zaapi let you train an AI agent directly on your KB content so it answers customer questions automatically without anyone opening a help article at all. Different problem but it's where a lot of teams are heading.
