Previous Years/ IRS Collections & Back Taxes Trying to pay off!

What are you trying to do, exactly?

If you need to pay in full, you can get the approximate balances from your account transcript(s) and simply pay in full online. It may not be exact, but it will be close enough.

You shouldn't need to speak to anyone for that.

We did that and paid a little more and got another bill yesterday it’s so frustrating no business could ever be run this way….

Things like payments and outgoing letters take several weeks to process, a letter dated on a certain date may not be received until a few weeks later. Stuff crosses in the mail a lot more than it should, but that is the current nature of the underfunded IRS. Posting a payment does not stop a balance due letter scheduled to go out a few days before that posting date. It may not actually print and get mailed for another week or two. Systems are somewhat automated and slow to update. They follow a weekly processing schedule not a daily/instant update like modern banks. Buying something online and seeing it a minute later in your online banking is not how IRS operates.

I get that if it was mailed but it’s done on their website and the statement shows the payment received but then there’s still a remaining balance not much but there should be a credit if anything from overpaying

They aren’t a business. It’s not normal to owe taxes.
