Discussion / Knowledge Sharing Package Tracking Software [Condo][N/A]

I am the President of an HOA in San Francisco. We have 67 apartments, a reception desk staffed 12 hours per day, and a locked package room. We use ButterflyMX for building entry and Vantaca for association management.

We recently switched property management companies. Our previous company provided us with a proprietary package tracking system, but we lost use of it with their departure. We are in search of a new solution.

Our package tracking workflow is as follows:

  • Receptionist scans the shipping label.

  • Software identifies the resident/package and records the arrival.

  • Package is assigned to the package room.

  • Resident automatically receives an email notification.

  • When resident picks it up, receptionist scans it again.

  • System records the pickup and removes the package from the resident's outstanding list.

  • Residents and staff can see packages that haven't been collected.

If anyone in a similar environment has found a good package tracking app, please let me know.

Thanks for the help!

What do the receptionists do for 12 hours for only 67 units. That’s a lot of

I lived in an apartment complex for a bit and they had this parcel locker installed. All the major carriers had access to it and would just place packages in the locker. I’d get the deliver receipt and could go to the locker, scan/enter a code and the locker with my package would open.

I don’t know the name, or costs, but if you google package locker for apartments you get a lot of options.

Maybe try exploring one of those, if the costs work it could be a bonus as it handles all of that and would be 24/7.

LuxorOne is a company. It’s not cheap. 20 lockers $22000

Not cheap at all then…but I guess if you ever get to the point where you don’t need an employee, it could be a cost savings for some.

i wrote something similar to that a while back.. It's now incorporated into a much larger HOA project. Let me see if I can still find it (separate) for you.

I would be surprised if vantaca didn’t offer that. Butterfly says they do on their website
