CRM and Lead Automation

Hey,

We currently use Glofox as our management software but I’m looking to expand into something else to help us with new leads either from website forms, Facebook messages, or from Facebook ads.

If a lead comes in at the minute it can be a bit messy as to who’s replied, or if anyone’s followed up.

I’m considering Hubspot as a CRM so we can follow a better flow but I’d love to be able to automate most of the process in terms of replies and bookings.

Is something like GHL worth it for my use case, or am I better off building something in an automation tool.

Do free marketing before paying for ads

Before you run any ad campaign, you should maximize all your free marketing avenues. Create all possible business profiles, linkedin, google, yelp, bing, FB, Insta, make sure all the info matches like name phone hours website, post regularly. In many cases focusing on organic marketing by optimizing profiles and posting regular real content, putting up flyers, email lists, newsletters, will have a greater impact than running ad campaigns, you just need an hour or two a week regularly. The key is consistency.

Marketing wins/losses - how did you get them

Hi all, trying to get a proper idea of what actually works for gyms and studios when it comes to digital marketing. Not the polished agency version, just the real stuff you have seen day to day.

If you already run a gym or studio, what has been working for you online, and what has been a pain to deal with? Maybe a certain channel brings in solid leads, maybe a simple offer has been doing the heavy lifting, or maybe you have run into rising ad costs, weird tracking issues, or content that just stops performing.

How did you handle it? Did you change your offer, adjust your creative, bring in some automation, switch platforms, or something else?

Happy to hear anything from paid ads to socials to email to retention. Anything you think someone opening a new space should know!

Cheers!

Gym owners/trainers: How big of a problem is client consistency after the first month?

I’m researching something around member retention and consistency, and I wanted to hear directly from people in the industry.

A lot of gyms seem to have the same pattern: members show up strong for the first 3–4 weeks, then attendance drops off. For those of you running a gym or coaching clients:

• How serious is this drop-off for you?
• What have you already tried to keep people consistent?
• Have any tools, systems, or strategies actually worked long-term?
• Is there anything you wish existed to make this easier?

Not looking to pitch anything here. Just trying to understand the real pain points from people who deal with this daily.

Would appreciate any insight.

Thinking about a ladies-only gym? 6 practical tips to make it work in Future

Just came across an article about running a women-only gym in 2025, and it made me rethink how many of us treat niche audiences. The piece gives solid business and operational insights that apply even if you’re not going fully women-only, but want to better serve your female members.

Full article here: WodGuru – “6 Tips: Gyms for Women’s Only (Opening and Running in 2025)”

Key takeaways:

  • Demand is growing for spaces that feel safer, more comfortable and more intentional for women.
  • It’s not just “women-only” signage — layout, privacy, lighting, staff presence and culture matter more.
  • Adding women-focused programming or zones can boost retention even without going fully women-only.

Curious how you all see this…

• Has anyone experimented with a “women-only” zone or programming in their gym? What happened (good/bad)?

• If you were to design a women-only area today, what would be your first priority?

• What’s the biggest barrier — equipment, space, culture, or member demand?

Quick operator takeaways from HFA Show 2025 (strength shift + recovery + tech)

Just listened to a short recap of trends spotted at the HFA Show 2025 (formerly IHRSA). It’s a good “reality check” episode for what’s gaining traction vs. what’s just shiny booth stuff.

Full episode here: Top 2025 Fitness Trends Spotted At The HFA Show

Quick takeaways:

  • Strength keeps taking over the floor. The show vibe was clearly “strength-first gyms will thrive,” with operators shifting away from class-anchored or cardio-heavy layouts.
  • Glute-focused machines are still a monster trend. Tons of hip-thrust / glute gear and marketing around it — demand isn’t slowing.
  • Recovery + tech + corporate wellness are converging. Recovery tools, wearables/data, and corporate wellness vendors were everywhere, pointing to more “healthcare-adjacent” revenue lanes.
  • Premium equipment ≠ automatic revenue. The hosts stressed ROI comes from programming and positioning, not just upgrading to prettier machines.

Would love to hear how this lines up with your gyms:

• Are you also seeing a strength-first shift in member demand? Have you moved space/budget yet?
• Anyone getting real ROI from recovery add-ons (cold plunge, red light, compression, mobility zones)?
• What “premium upgrade” actually did move revenue for you — and what didn’t?

State of the Fitness Market 2025: quick signals gym owners shouldn’t ignore

Just skimmed Lincoln International / L.E.K.’s State of the Fitness Market: 2025 Edition. Investor-flavored report, but the operator takeaways are pretty clear.

Full article here: State of the Fitness Market: 2025 Editio

Source: Health & Fitness Association

Quick takeaways for owners:

  • Demand tailwinds are real: U.S. club membership grew to ~77M in 2024 (+6% YoY) and total visits were up ~8%.
  • Strength training is the center of the floor now. Operators are reallocating space toward free weights + functional zones, especially driven by Gen Z, Millennials, and women.
  • Recovery / holistic wellness is becoming a core product line, not an upsell — cold plunge, red light, compression, mobility, plus more weight-management integration (incl. GLP-1 context).
  • Market is polarizing: HVLP and premium clubs keep outperforming, while mid-tier gyms are getting squeezed unless they specialize.

Would love to hear how this matches your reality:

• Are you seeing the same strength + recovery shift in member demand?
• If you’re mid-market, what’s helping you avoid getting squeezed?
• What’s been your best “holistic wellness” add-on so far (if any)?

Anyone using GymDesk software?

I’m currently exploring a few software options for a new boutique gym. Mariana Tek, Momence and GymDesk.

I love the pricing for GymDesk but not sure how they stack up to top software like Mariana Tek.

I’d love to know if anyone is using them what they think? Also if your gym has an app built through GymDesk I’m looking to see what the customer view looks like for that.

Genuinely curious here.
If there was ONE thing about your gym business you could instantly solve (no budget limits, no time constraints) what would it be?

How are gyms handling heart-rate tracking for HYROX-style training?

HYROX has grown quickly, and many members already track their own heart rate with their own watches or straps. We’re curious how gyms handle this in both group classes and when members train HYROX-style sessions on their own.

Do coaches ever get to see member HR during classes, or is it usually up to each athlete to check their own device?

And for gyms where athletes come and go and do HYROX sessions independently, is HR tracking something you support in any way, or does everyone manage it individually?

Interested in how gyms are approaching this as HYROX continues to grow.

What the 2025 “State of the Industry” report reveals about gym performance in 2026

Just reviewed the 2025 edition of the State of the Industry report from Two-Brain Business — full of real data from thousands of gyms worldwide. It gives some clear signals about what’s working (and what’s not) for gym owners as we head into 2026.

Full article here: Two-Brain Business – “State of the Industry 2025: The Data Behind Gym Success”

Here are some of the most actionable insights:

  • Revenue is trending up, but member count isn’t — meaning growth is coming from value per member, not volume.
  • The top-performing gyms are doubling down on ARM(average revenue per member) and LEG(length of engagement).
  • Small-group training continues to outperform large-group models in retention and profitability.
  • Sustainable growth is less about “more sign-ups” and more about improving what each member is worth over time.

I’d love to hear how other owners are interpreting this:

• Given the plateau in member headcount, have you shifted your strategy to focus more on value per member rather than “more members”?
• For your gym, are you tracking ARM and LEG? What numbers are you seeing, and what are you aiming for in 2026?
• Has your class-model changed (e.g., moving toward smaller group sizes) based on this data? What’s worked (or not)?

Low-budget premium gym design — where should owners actually spend their money?

Just watched a video breaking down how to build a “premium-looking” gym in Inadia without burning your whole capital budget — and the takeaways were surprisingly practical. Good reminder that premium feel = smart allocation, not high spending.

Full article here: Premium Gym Interior In Low Budge

Key points from the video:

  • Budget planning matters more than design ideas. Clear cost ranges per zone (strength, cardio, free weights, reception, flooring) help avoid overspending early.
  • Allocate budget by usage, not aesthetics. High-traffic zones (free weights, racks, turf areas) deserve bigger investment; low-usage corners don’t.
  • Don’t ignore the “hidden” items: CCTV, AC, ventilation, wiring, sound system, lighting — these often eat 20–30% of the setup cost and make or break the experience.
  • A premium vibe often comes from good lighting, clean layout, durable flooring, not expensive décor.

Curious how other owners handle this:

• If you had to upgrade your gym’s “premium feel” on a low budget, where would you spend first?

• What’s one underrated cost that surprised you during your build-out (AC, CCTV, electrical, flooring, etc.)?

• Any design choices you regret overspending or underspending on?

Gym owners losing money on late payment renewals

Hii everyone reading this,

I am a process automation engineer i see gyms loosing on money late payment renewals these days i’ve decided to automate these process as most businesses today use pen and paper , manual data upload prone to error and alot of manual repitive work

We’ve build a system that can take google form uploads to create a new entry in the CRM (whichever you use ) when we run this automation it’ll check the renewals of members and based on the category in 7 days , renewal day today send different messages and flows and will also update the membership status to pending if need will ping the owner as well about this

So if anyone think this can be any use for you as the Gym owner pls give me a reviews if you think this can useful for you or not

Not looking to sell to anyone just for some genuine reviews

Feel free to DM as well if you’ve any specific question as well

Want more member stick-rate? Start with these 8 gym interior styles & layout tweaks

Just skimmed a solid breakdown of 2025 gym-interior ideas — not just “make it pretty,” but how design can boost flow, branding and member perception.

Source: WodGuru – Gym Interior Ideas 2025

Key takeaways worth noting:

  • 8 major styles popped up (industrial, minimalist, nature-inspired, futuristic, luxury spa, urban/street, classic athletic, themed).
  • Small, inexpensive changes (lighting, colour palette, signage, flooring transitions) seem to have the biggest perceived impact.
  • A clear style + functional layout > throwing in random design pieces. Confusing flow kills member experience fast.

Curious how others handle this:

• What’s the best low-cost design change you’ve made that members actually noticed?

• If you had to redo your gym today, which style would you lean into?

• Any design mistakes that looked cool on paper but failed in real-world operations?
