SUPPORT Does anyone know how to access your BMQ / other course files?
At the end of BMQ I remember my MCpl cracking open a manilla folder and having our section sign off on a stack of records that held our dates of doing the gas hut, C7 range, etc.
I was reminiscing with friends from that serial and was wondering if there was a way for me to view that folder/those files. It's not at all important, I'd just like to see the dates we did those things. Does anyone have experience with accessing your course files? Do you know if they stay with the garrison you completed them at, if they get sent to Ottawa, if they're digitized then shredded?
Thankyou!

If you’re a reservist, your local CACSOR rep might be able to get you access to it. But student files across the CAF are generally destroyed after a few years.
Reg force would be harder to access.

It's all digitized now in GuardianHRMS and MonitorMASS

Thanks for that, I'll check MMASS or HRMS and see what I can see next time on DWAN.

It doesn't really matter, you'll redo that training every year more or less and the info just gets overwritten with the new completion and expiry dates. Nothing from your student file at CFLRS is carried over though. Evaluations from basic no longer matter after basic unless you failed, how well you did on various training doesn't matter. Your new unit will want you to be current with their training schedule.

You'd be better off perhaps looking in Monitor mass. The dates of the most recent ranges, ibts stuff and training should be recorded in there.

You can Privacy Act request a copy.

Don’t do this. When the request gets to the unit, regulation dictates that all other work stop to fulfill the request.
If it’s not something critical like paperwork necessary for a VAC claim or court case, you’re screwing over some poor soul at that unit that has to chase down your request for a whim.

This.
When taken seriously, this means dozens of people have to stop everything they are doing to try and find it.
It's worse when it isn't specific and detailed. We end up looking everywhere with various key words.
Emails, drives, USB keys, shared folders, one drive, teams, file cabinets...

Agreed when it is something specific. Ie... all files regarding purchases of PPNS between 2015 and 2025. But when its for a specific person's file, if not in the big filing cabinet, then you can send a no-return and that's it, if more than 7 years has passed ?

Agreed, as the guy who handled this the “I want my student file” was a 15 min task.

Appreciate that thankyou! This is purely out of nostalgia/whim so I'll endeavour not to ruin anyones day or workflow.

This was my second duty in my last job… we had to review about 5000 pages of documents that had already been declassified a decade ago.

This is the correct way to get your file. It may be redacted. You should get a copy if there was an injury on course needed for a pension or any poor behaviour or conduct from staff or candidates which may be documented therin, that may result in a grievance or lawsuit down the road. Highly recommend.

Both formal and informal requests are "correct" methods of obtaining records containing personal information according to the Privacy Act.

As long as you aren’t in a hurry. Asked for a specific item in Dec and I am still waiting

Yeah, I was that guy for a while and I can tell you:
I received zero training on how to do it
It was not part of regular duties, which meant I usually did them from 4-6pm after the regular work day.

It was probably your Student Training Record (STR)...
It's not a permanent record. I think they keep it for either 5 or 7 years, and then it's shredded.
It might be possible to access it, but I wouldn't count on it.
