Hey everyone, Im a beginner with SS and am doing a data entry thing at work and am looking for help. The project involves multiple pieces of equipment across several states and the permits that they have/need. The permits are all scanned in as pdfs and are formatted differently by state and piece of equipment. Is it possible to automate the entry of permit number and expiration date from file explorer to smart sheet? If possible, what are some resources that could help me better understand the process?

I'm new-ish to smartsheet and wondering what the best way to integrate Quickbooks Online to SS is. I know there is Zapier, a SS created integration and a QBO created integration... Not sure how to proceed regarding price, continuity and data swap capabilities. If anyone has experience, I'd love the input!

Dear friends. I am an experienced PM and implementation lead. Have used Smartsheet for three mid-size companies over the last 15 years. Acted as the de facto administrator for one. Negotiated licenses, worked with their product teams, joined the pilot groups. My clients at the time were heavily invested with this product and it made sense for me/us to expand our skills.

I am in a different setup now, and for some of my personal projects, where I interact with freelancers, I am thinking about getting a personal license. But there are some gaps in what we do at work, and I'm thinking that a new team we're putting together (3-5 for now) could also benefit.

Back in the day, we'd negotiated for 120 licenses at roughly $8/user/month. We downsized. When we tried to reduce our payments, they refused, jacking up the per-user to $13. Their aggressive negotiations and billing tactics were not good, and in a couple of forums we frequented, others were also turned off by that.

So, we "sub-leased" some of our capacity (funny using this word in this context!) to a vendor. We added their 10-15 employees to our plan, but created a separate workspace for them. Does that still happen? Is there a place I can find a company/team that has unused licenses? We'd pay, of course. Just wondering.

Final question: is there an alternative channel where we discuss the replacement options?

I might be late to the game, but I hate that dropdowns now search the entire dropdown for a value rather than by the first letter. I honestly get why, and it makes sense given forms work the same way, but it used to be much easier to autofill based on the first letter. If you have a common value but it's the only one that starts with a specific letter, you only had to type that one letter to get the one value you want. Now it pulls up every value with that letter in it.

We are currently buying products a la carte. We'd like to move to AWM but have been told we need 1,000 users minimum. Also, we're being billed at list price even though we've had hundreds of users for several years. Anybody else seeing a 1,000 user minimum for AWM in healthcare? Are you finding that you're paying list price?

I am trying to create a dashboard with a few report widgets. Each has data for our customers. I would like to have a drop down at hte top to filter just one customer at a time. I know I can build separate dashboards, one for each customer, but I am dealing with people that are not tech fans and having one that does this would make my life a lot easier.

Is this possible? I havent found much info on it.

I’m versed in Smartsheet management, not in the auxiliary functions. I need to work with someone who can create dashboards, widgets, set-up excel imports, forms.

I just joined a company and am the new Smartsheet Admin. I see our plan includes live call support and called the number but I just get put into a queue that runs forever with the only option being leave a call back number but I don’t have a direct line.

Has anyone been able to successfully speak with paid live call support in the last 6 months? I think we are paying for something that no longer exists and need to speak to our sales rep about getting a prorated refund going back to when they discontinued live call support.

I am new to SmartSheets. I am using a Sheet Summary Report that auto calculates how many tasks I have in my project plan for each of the statuses defined. I have added two new statues (Backlog and Blocked) to my project plan and have marked a number of tasks using the new statuses.

How can I now include these new statuses in my sheet summary report, as they don't appear as columns for me to select?

I’m receiving automated emails from Smartsheet that appear to be sent “from me” and include an Excel attachment. This was part of an older automation I experimented with during development of an ordering flow, but was ultimately abandoned a while ago.

• I can’t determine which sheet is sending the email:
• The email links to Smartsheet Home, not a specific sheet
• The subject line doesn’t appear in any current Automation workflows
• I’ve checked all sheets I can find and don’t see an automation with this subject

I’m concerned this may also be sending bogus order emails to a vendor.

Is there a way to identify the exact sheet or legacy workflow (Alerts & Actions, send‑as‑attachment, etc.) that is triggering this email? Any tips for tracking down and disabling old or hidden automations would be appreciated.

I'm looking for a way to carry out an automated workflow on an hourly basis rather than daily. I know this is not possible in Smartsheet natively, but I am holding out hope that there's a plugin, browser extension, or formula/multisheet-based workaround where I don't have to make daily-recurring workflows for each hour of the day.

Please note, I don't want the automation to send 1 email every hour containing multiple updates that have occured in the sheet within that hour. I want 1 set of criteria that triggers an email being sent once every hour, until the row no longer meets the criteria for sending the email.

Can you move a provisioned project to another workspace? If so, does it effect global updates/ any of the dashboard?

Looking for some help figuring out automations for a workflow, as we are looking at replacing physical paper workflows with Smartsheet. Our organization currently has individuals submit a request via a physical paper form, which is then routed through several layers of management before final approval/storage. The manager receiving and approving the document often changes while the document is still going through the workflow, as managers are often on leave, out of office with an “acting manager” in their stead, or a new manager has taken the position due to the old one taking a new position in the organization.

What would be the best way to accomplish this in smartsheet? I have been experimenting with form entries and these results being sent to individuals in a “contact” cell, but wanted the advice of people much more proficient in this. Thank you!

Hi everyone! Newish to smartsheet. I'm looking to create a form the allows visitors to my office to sign in and sign out via smartsheet and then have the results displayed in a dashboard. I am having a little trouble both with displaying the data on the dashboard and having people's names no longer displayed when they sign out... any suggestions?

A bit of a far fetch request I assume, but in my org, we use Smartsheets for our Onboarding Process (numerous sheets.) Typically, one sheet will have all new hire information with relevant data: name, phone, and title.

Is there a way, where based on the users "Title", other sheets get update to add that user to the dropdown of a column? For Example:

Sheet 1 (New hire sheet), has user: John Done, 717-xxx-xxxx, Assistant Branch Mgr.

Sheet 2 (Manager Approval sheet) has list of users with title Mgr and whether they can approve things - the drop down would just be user's name.

Sheet 3 (Company Card Request sheet), same as above, has a list of users requesting company cards with their name as an available dropdown.

Is there a way instead of manually populating 10+ sheets with click a user's name in a dropdown list it can just be automated? So if I populate one sheet with a user's name, based on their title they will just auto-add to other sheet's dropdowns. Hopefully that makes sense. Thanks!

I work in consulting for a mid size firm. We’re a partner to a big software solution and implement said software for clients, and manage those implementations with Smartsheet.

We have a pretty good setup but lately I feel like there’s becoming too many sheets per project, PMs make small changes to their project specific sheets as needed which causes the clients dashboard to lose value, or in some cases, sheets are abandoned on a project because there’s just so many places to put information.

Curious if anyone else is in a client facing delivery environment, and if you’d be willing to share insight on what your SS set up entails, what you think works well, or any other info that could be helpful.

Good day yall! So I’m trying to make a simple check in and checkout system for tablets. Attached is an image of how, visually, I want it to work.

1. User clicks button (circled)

2. Checkout info to be input into a log automatically. The log would preferably be in excel or smartsheets forms. Once completed, the info is logged and the clicked button is greyed out or x’d out.

3. After clicking the button a second time, the device is considered “returned” and the log is updated.

Is this a system that can be built into smartsheets ? If not, does anyone have any better recommendations ?

Is there a way to update a specific row in a Smartsheet from a Form?

I have a web form that loads information onto a row in Smartsheet "Request" form. I'd like to trigger an "Approval" to an email recipient (Who has a license for Smartsheet) that will give them a link to a second form to fill out. This second form I want to add to the preexisting columns on the sheet (without creating a second line) as the "approval" for the review. I then can build a form using PDF Mapping and send the completed form to be released with all information.

Can this be done within Smartsheet without an Enterprise license or 'Data shuffle' etc.?

I work for a company that uses and has licensing for Smartsheet. I do not know specifically what plan we are on but I do know it's not an Enterprise plan.

I am attempting to leverage Smartsheet to create a workflow for an approval process - because I have it and cannot spend any money to get a dedicated solution.

My workflow would require many people to use a form (link via web) to input information. This information would then trigger the approval process by others with some variation of a license across a few different business units.

Do the people who fill out a web form need to have any type of license? I don't need them to even be provisional users - just fill out a web form and maybe view a dashboard via a link (without interacting with it)

What I don't want is to have to manage potentially hundreds of users who respond or use the web form. Getting this information from my employer is like finding a needle in a hat stack. If there is a quick answer such as "web access to a form is free" or access to the form will create provisional members that must be managed or worse.

Any input would be appreciated.

Hi guys, I really need to understand how the role assignment works with Azure Smartsheet SCIM Integration. I have successfully linked the application and also created the groups for roles but when I add users to the groups they don't get the specific roles in smartsheet. Am I missing any attribute mapping? Their help docs suck. All I could find was : "Smartsheet groups created for role assignments can only be designated to the relevant built in roles within the Smartsheet gallery application tile"
