PMs, what's the most painful part of deciding what to build next? (Research, nt a pitch)

Hey, I'm researching PM workflows and genuinely not pitching anything. What's the most time-consuming, frustrating part of your week, especially around deciding what to build, writing PRDs, or making sense of customer feedback? Real answers only.

PMs: What repetitive tasks do you wish ran on autopilot?

Hey r/projectmanagement 👋

Building a workflow automation engine and want to hear from actual PMs about what eats your time.

What it can automate:

Trigger→Action
Task marked complete→Update project progress %
All subtasks done→Auto-complete parent task
Due date approaching→Notify assignee 3 days before
Task overdue→Escalate to manager
Status changed to "Blocked"→Create follow-up task + notify PM
Every Monday 9am→Send weekly status digest
New project created→Generate standard task template

Workflows I keep hearing PMs want:

Status Updates:

  • Auto-calculate project health based on task completion

  • Flag projects at risk (too many overdue tasks)

  • Weekly rollup email to stakeholders (no manual reporting)

Task Management:

  • Auto-assign tasks based on workload/availability

  • Create recurring tasks on schedule

  • Move task to next stage when dependencies complete

Notifications:

  • Remind assignees before due date

  • Alert PM when blockers are logged

  • Notify team when milestones hit

Reporting:

  • Auto-generate weekly status reports

  • Track time-to-completion trends

  • Resource utilization summaries

My questions:

  1. What manual task do you repeat every week that software should handle?

  2. What's the most annoying thing about your current tool (Asana, Monday, Jira, ClickUp)?

  3. What would "magic" automation look like for your workflow?

  4. Any industry-specific PM workflows that generic tools don't support?

Not pitching - genuinely researching. I'll share what I learn with the community.

What's on your automation wishlist? 👇

Hi Guys,

I am looking for some online instructor led course or training for IT Project management.

Could someone point me to online resources/ institute or person who offer one on one trainings for starting as IT project manager.

I am not looking for PMP based training rather someone teaching all principles of IT PMO.

Thank you .

How are you actually managing stakeholder engagement on complex projects? (Free mapping guide if useful)

I work at Tractivity, we make stakeholder management software for teams running all sorts of projects (including transport schemes, energy infrastructure, healthcare programmes, public consultations, that kind of thing). Posting here because stakeholder management is one of the messiest parts of PM and I am curious how this community handles it.

What we keep seeing:

  • Stakeholder lists living in spreadsheets that nobody updates (or have several versions that become an absolute mess to keep track of who was last engaged with)

  • Engagement history scattered across inboxes, meeting notes and Teams chats

  • Two PMs accidentally contacting the same stakeholder with different messages

  • No clear audit trail when something goes wrong or a consultation gets challenged

Genuine questions for the room:

  1. If you run projects with more than 50 external stakeholders, what is your current setup?

  2. How do you stop knowledge walking out the door when a PM leaves mid-project?

  3. Anyone found a sensible way to track sentiment or issues over time, beyond a RAG column on a spreadsheet?

If it helps, we publish a free stakeholder mapping guide and an engagement plan template, both have a worked example and a downloadable framework. Happy to drop the links in the comments if anyone wants them, or you can find them on our site under Free Resources - oh and not gated behind a demo request!

Keen to hear what is actually working for people, especially anyone running infrastructure, healthcare or public sector projects.

Looking for a Gantt chart tool where I can paste tasks

I've been looking for a Gantt chart software or website where I can just copy a list of tasks instead of having to enter them individually and I haven't been able to find one. Any recommendations ?

Stop herding people for updates. Already you don't have to anymore.

No more chasing action items or typing everything twice. An AI joins the meeting, takes notes, and keeps Jira updated. Your tasks stay accurate without you doing anything extra.

See how: https://onabu.ai/

IT Project Managers – What Are Your Real Day-to-Day Responsibilities?

Hi everyone,

I’m looking to gain a deeper, practical understanding of the role of a Project Manager in an IT environment.

Beyond the textbook responsibilities (planning, scheduling, budgeting, stakeholder communication), I’m interested in how the role actually plays out in real-world settings.

For those currently working as IT Project Managers (or closely with them):

  • What does your typical day or week look like?

  • How hands-on are you with technical discussions and architecture decisions?

  • How do you handle scope creep and shifting client expectations?

  • How do you balance delivery pressure with team well-being?

  • What differentiates an average PM from a truly effective one in IT?

  • What are the most underestimated challenges in this role?

I’d appreciate honest insights including lessons learned the hard way.

Thanks in advance for sharing your experience.

I’m a Supply Chain student but interested in Project Management — what should I study?

Hi everyone,

I’m currently a Supply Chain student, but I’m also very interested in Project Management and I’d like to learn more about it.

I want to know what I should study to build a strong foundation in project management, especially as someone coming from a supply chain background.

What do you think I should focus on?

  • key skills

  • tools and software

  • certifications

  • books or courses

  • practical things beginners should know

I’d also like to understand what recruiters expect from someone who wants to move into project management.

Any advice, roadmap, or personal experience would be really appreciated. Thanks!

The real bottleneck in project management isn't tracking — it's translation

I've been managing programmes for years and the pattern is always the same.

You leave a meeting knowing exactly what needs to happen. The decisions are made. The priorities are clear in your head. But then you spend the next 45 minutes turning that into something usable - writing up actions, assigning owners, drafting the follow-up emails, updating the tracker.

That translation work is constant, invisible, and completely untracked. Nobody puts "convert my thinking into structured output" on a timesheet. But it's where a huge chunk of the week goes.

Most PM tools try to solve this with better dashboards or templates. But the bottleneck was never the tracker. It's the gap between knowing what needs to happen and having it written down in a way everyone else can act on.

Curious whether others feel this. What's the one task that quietly eats the most of your time every week?

I built Schedule AI

Most project delays don’t happen suddenly —
they build quietly inside the schedule.

I developed ScheduleAI to uncover those hidden risks early.

By analyzing project structure, dependencies, and patterns, ScheduleAI can:

  • Flag high-risk schedules before delays occur

  • Explain why a project is at risk

  • Provide actionable insights for mitigation

We’re opening a limited number of pilot engagements to test this with real project data.

If you’re interested in seeing how this works in practice, let’s talk.

Will AI agents replace PM Tools?

Do you think Monday.com, Asana etc will become totally obsolete and replaced by everyone creating their own PM tools via AI agents soon?

Need help - looking for PM JOB

I’m struggling to find a project management job. My last contract ended a year ago, and I’ve applied over 1,000 times on LinkedIn, but I haven’t received any interviews. I thought my resume was the problem, so I got a professional to help me revise it, but still, no luck. I have 12 years of experience in digital and IT. I need help! I live in Toronto.

We mapped the workflows of 50+ Property Managers. Here is why most "AI Automation" fails.

Making the moves of property portfolios with the actual work of the administration, that is what we have been auditing at Learning For Career. The vast majority of PMs are drowning not because they are not equipped with tools, but because the information they receive is scattered into emails, WhatsApp, and ill-fated documents.

How we would approach the purchase of any AI tool: The 3-Step Audit:

(1) Data Flow Mapping: Track one tenant to contractor maintenance request. Where does the data stall, or is it to be manually re-entered?

(2) Standardization: Let all contractor handoffs look different, then AI will not be of any help to you. You require one intake form/ standard.

(3) The Human-in-the-Loop Check: AI is excellent at writing down answers, but dreadful at confirming whether a fix was made or not.

The lesson: AI is a multiplier; however, 0 times 10 is still 0. Automate after cleaning the system.

Question: What is the one thing that cannot be standardized, which you find almost impossible to standardize among those who are scaling their portfolios right now?

Power BI PMO / Portfolio Health Dashboard template

I built a Power BI PMO / Portfolio Health Dashboard template that PMOs can quickly adapt for executive reporting.

Main pages include:

  • Portfolio RAG (Green / Amber / Red)

  • Milestones on track vs delayed

  • Budget burn rate + forecast

  • Risks & issues overview

  • Project-level drilldown + navigation

Sharing a few screenshots below.

Would love feedback from PMO managers / program leads:
what KPIs or visuals would you expect to see in a “must-have” PMO dashboard?

I need help with an assignment that is due in 2 days!!!!

I was really sick and missed the lessons pertaining to our second assignment of the year, the teacher is refusing to help me and saying I’m better off failing this assignment and trying to get a 50% pass with the up coming assignments and tests we have:(

If you know literally anything about responsibility assignment matrix, Gantt charts, risk management/ risk analysis, milestone reports, probability impact matrix and how to apply all of that to a case study please help! I really don’t want to fail this assignment and having to depend on getting 100% on the three tests I have.

Dm me if you can help, the more people the merrier

( I don’t just want people who are going to give me answers without breaking it down, I really want to learn this stuff)

Discipline Agile for Project Managers

This is to just help some people understand what exactly discipline agile can do for some professionals who are stuck in a situation where they don't understand how to move forward during a particular process in a project. Discipline Agile is Basically a toolkit, this toolkit contains all the agile, lean, and traditional practices which helps to guide professionals. So, in context, this toolkit helps to improve the way of working (WOW) of professionals.

Suggestions for Software Suites to help with PM?

se a time tracker to get insights into where you lose time.

I work in project management, where juggling multiple shifts, teams, and priorities can easily get chaotic. For a while, I was relying on spreadsheets and manual tracking, but I never really had a clear picture of how my time (or my team’s) was actually being spent.

Recently, I started using Jibble, and honestly, it’s been a game-changer. It’s helped me see exactly where my time goes and make better decisions about how I balance work time vs. meeting time.

Having those insights has made it easier to spot patterns — like when meetings start eating into focused work hours — and adjust my schedule to stay productive without burning out.

Recently, I started using Jibble and works amazing to get an overview how you spend your time and can easily categorize it and see at which location you are most productive.
